We are seeking a detail-oriented and organized individual to join our team as a Data Entry and Calibration Calibration Specialist. This role is responsible for accurately inputting data into company systems, managing calibration certificate records, and ensuring compliance with quality standards. The ideal candidate will have strong typing skills, a keen eye for detail, and the ability to handle sensitive information with confidentiality.  Ability to function effectively in a fast-paced environment.

 

Responsibilities

Key Responsibilities:

  • Accurately enter data from various sources, including calibration certificates, test reports, and equipment logs, into designated databases or software systems.
  • Review and verify calibration certificates for completeness, accuracy, and compliance with internal and regulatory standards.
  • Update and maintain records of calibration schedules, equipment status, and certification expiration dates.
  • Identify and correct data entry errors or inconsistencies in documentation.
  • Collaborate with calibration technicians and quality assurance teams to resolve discrepancies or obtain missing information.
  • Generate reports or summaries of calibration data as requested by management.
  • Ensure proper filing and archiving of physical and digital calibration certificates for easy retrieval.
  • Assist with audits by providing accurate and up-to-date calibration records.
  • Answering/directing incoming phone calls.  Receive visitors/packages at main entrance
  • Will assist in customer service, sublet and receiving areas as needed.
  • Adhere to company policies, data privacy regulations, and industry standards.
  • Perform additional  tasks as needed to support the team.

Qualifications

Qualifications:

  • High school diploma or equivalent; additional certification in data entry or office administration is a plus.
  • Proven experience in data entry, document management, or a similar role (1-2 years preferred).
  • Familiarity with calibration certificates, quality control processes, or technical documentation is an advantage.
  • Proficient in Microsoft Office Suite (Excel, Word) and data management software/tools.
  • Excellent typing speed and accuracy.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and manage time effectively to meet deadlines.
  • Good communication skills for coordinating with team members.
  • Basic understanding of database systems or willingness to learn.

 

Preferred Skills:

  • Experience with calibration management software (IndySoft) Netsuite or ERP systems.
  • Knowledge of industry standards such as ISO 9001, ISO/IEC 17025, or similar.

 

Physical Requirements:

  • Ability to sit for extended periods and perform repetitive tasks.
  • Occasional lifting of files or equipment up to 25 pounds.
