Shipping and Receiving Coordinator role overview: 

The Shipping and Receiving Coordinator is responsible for the receipt, handling, and dispatch of customer equipment, as well as providing customer collection and delivery services using company vehicles. Working closely with the wider laboratory team, the role ensures equipment is accurately processed, safely handled, and efficiently moved through the calibration service process while maintaining accurate records and a high standard of customer service.

Responsibilities

Duties and Responsibilities:

  • Coordinate the receipt and dispatch of customer equipment, ensuring items are accurately processed, handled, and moved through the appropriate workflow.
  • Inspect and verify incoming equipment against relevant documentation, identifying and communicating any damages, shortages, or discrepancies.
  • Process equipment within calibration and internal tracking systems, ensuring accurate and up-to-date records are maintained.
  • Prepare outgoing equipment for shipment, including verifying documentation, packaging and labelling items appropriately, and ensuring customer and company requirements are met.
  • Coordinate shipping requirements with couriers, freight providers, and internal teams to support the timely collection and delivery of equipment.
  • Provide customer equipment collection and delivery services using company vehicles, including the safe loading and unloading of equipment and completion of relevant documentation.
  • Work closely with Customer Service, the Laboratory Coordinator, and calibration personnel to support the efficient flow of equipment and information through the laboratory.
  • Maintain accurate shipping, receiving, and logistics records and support the resolution of shipment or equipment discrepancies.
  • Interact professionally with customers during collections and deliveries and communicate relevant information or issues to the appropriate internal team.
  • Safeguard customer and company equipment and ensure appropriate handling, safety, quality, and operational procedures are followed.
  • Identify and support opportunities to improve shipping, receiving, and logistics processes and increase operational efficiency.
  • Perform other duties as required.

Qualifications

Experience and Key Competencies:

  • Previous experience in shipping and receiving, logistics, warehouse operations, inventory handling, collection and delivery, or a similar operational role is desirable.
  • Experience within calibration, engineering, manufacturing, technical services, or another operational environment is advantageous but not essential.
  • A full, valid driving licence is required, as customer equipment collection and delivery using a company vehicle is an essential responsibility of the role.
  • Strong organisational and time management skills with the ability to manage multiple priorities in a fast-paced operational environment.
  • Excellent attention to detail with the ability to accurately verify equipment, documentation, and shipment information and maintain effective records.
  • Good computer proficiency, including Microsoft Office, with the ability to learn and use internal systems for equipment processing, shipment tracking, and data entry.
  • Strong communication and interpersonal skills with the ability to interact professionally with customers, couriers, suppliers, and internal stakeholders.
  • A proactive approach to problem-solving with the ability to identify discrepancies, take ownership of actions, and escalate issues appropriately.
  • Ability to work effectively both independently and collaboratively within a cross-functional team.
  • A strong commitment to the safe handling of equipment, quality, accuracy, and adherence to company procedures.
