Service Coordinator role overview: 

The Service Coordinator is responsible for coordinating third-party calibration and repair services, including obtaining supplier quotations, managing service requirements, monitoring turnaround times, and maintaining accurate records. Working closely with internal teams and external service providers, the role supports the effective delivery of third-party services while also providing administrative support to the Calibration Service Manager and wider laboratory team.

Responsibilities

Duties and Responsibilities:

  • Coordinate third-party calibration, repair, and specialist services from quotation through to completion and return.
  • Obtain and review supplier quotations and liaise with approved service providers regarding pricing, service requirements, purchase orders, turnaround times, and equipment status.
  • Work closely with Customer Service and Shipping & Receiving to provide information required for customer quotations and ensure equipment is dispatched, tracked, and returned within required timelines.
  • Monitor outstanding third-party activities, proactively follow up on actions, and communicate delays or issues to relevant stakeholders.
  • Maintain accurate records within company systems and process relevant purchase orders, requisitions, supplier documentation, and service information.
  • Develop and maintain effective working relationships with third-party service providers to support quality, turnaround time, and service requirements.
  • Support the Calibration Service Manager with laboratory administration, documentation, reporting, planning, and monitoring of key operational information.
  • Maintain effective processes and work collaboratively with the wider laboratory team to support efficient communication, traceability, and service delivery.
  • Identify and support opportunities to improve administrative processes, reduce delays, and increase operational efficiency.
  • Perform other duties as assigned.

Qualifications

Experience and Key Competencies:

  • Previous experience in administration, coordination, planning, logistics, purchasing, customer service, operations, or a similar role is desirable.
  • Experience within calibration, engineering, manufacturing, life sciences, technical services, or another regulated environment is advantageous but not essential.
  • Strong organisational and planning skills with the ability to manage multiple priorities and deadlines effectively.
  • Excellent attention to detail with a strong commitment to accuracy, quality, and effective record keeping.
  • Strong verbal and written communication skills with the ability to build effective working relationships with suppliers and internal stakeholders.
  • Good computer proficiency, particularly Microsoft Office, with experience using CRM, ERP, purchasing, or service management systems considered advantageous.
  • A proactive approach to problem-solving, with the ability to follow up on actions, take ownership of responsibilities, and identify opportunities for process improvement.
  • Ability to work effectively both independently and collaboratively within a cross-functional team and adapt to changing priorities.
